Packing Optimizer ("we", "us", "our") provides 3D bin/pallet packing optimization software through our website, our API, and integrations that let the service be called from third-party AI assistants and agent platforms (for example, an MCP server or a ChatGPT app) — collectively, the “Service”. This policy explains what data we collect when you use the Service, why, who we share it with, how long we keep it, and the choices you have.

We are registered in the Netherlands. You can reach us at info@packing-optimizer.com for any question about this policy or your data.

1. DATA WE COLLECT

Account & profile data. When you register for an account, we collect:
  • Name, email address, and telephone number
  • Company name and country
  • A billing/financial contact email, if different from your account email
  • Your account password (stored using one-way hashing, never in plain text) and the API credentials we issue you to authenticate requests to our API and MCP endpoints

Packing data you submit for processing. To calculate a packing solution, you (or an AI assistant acting on your behalf) send us the dimensions, weight, quantity, and any labels or IDs of the items and bins/pallets you want packed, plus optional packing preferences (e.g. minimization strategy, stacking rules). This data is used solely to run the calculation and is returned to you in the response. We do not sell this data, use it to train models, or share it with third parties. Request payloads may be captured in short-lived application logs for debugging and abuse prevention as described below.

Usage & log data.
  • Which API/MCP endpoints you call, request counts, and response status codes, used for billing, rate limiting, and support (this is the data shown on your account's usage dashboard)
  • Standard server logs (IP address, timestamps, request path, user agent) used for security, reliability, and diagnosing errors
  • Page-view logs for the marketing website

Billing data. We keep invoice records (invoice number, billing month, payment status) associated with your account. We do not directly process or store your payment card details.

Cookies & analytics. Our website uses Cookiebot to manage cookie consent, and Google Tag Manager to load analytics tags (which may include Google Analytics) once you've consented. On sign-up, we record whether the email address you used appears to be a personal (e.g. Gmail, Yahoo, Outlook) or company domain, purely as an analytics signal — we do not use this to block or alter sign-up. You can manage or withdraw cookie consent at any time via the cookie banner.

2. USING PACKING OPTIMIZER THROUGH AN AI ASSISTANT / MCP

When you use Packing Optimizer through a connected AI assistant or agent platform, that platform sends us the item/bin data you provided it, plus your Packing Optimizer API credential, so we can authenticate the request and return your packing result to the assistant. We do not receive your broader conversation with the assistant — only the specific arguments passed to our tool — and we do not share your data back to the assistant provider beyond the calculation result itself.

3. HOW WE USE YOUR DATA

  • To provide and operate the Service, including running packing calculations and returning results
  • To create and administer your account, and authenticate API/MCP requests
  • To bill you and maintain invoice records
  • To provide customer support and respond to your requests
  • To send service communications, such as welcome emails, trial-activation and trial-expiry notices, and account/billing notices
  • To monitor, secure, rate-limit, and improve the reliability of the Service, and to detect and prevent abuse
  • To comply with legal and tax obligations

Our legal bases for these uses are: performance of our contract with you (providing the Service you signed up for), our legitimate interests (security, fraud prevention, service improvement), compliance with legal obligations (e.g. tax record-keeping), and, for optional analytics cookies, your consent.

4. WHO WE SHARE DATA WITH

We do not sell your data. We share data only with the service providers that help us run Packing Optimizer, under agreements that limit them to processing it on our behalf:
  • Amazon Web Services (AWS) — hosting and transactional email delivery
  • Cookiebot / Google Tag Manager — cookie consent management and website analytics, only after you consent
  • An AI assistant or agent platform you choose to connect to Packing Optimizer, limited to the packing request/response for that call, as described in Section 2

We may also disclose data where required by law, or to protect the rights, property, or safety of Packing Optimizer, our users, or others.

5. DATA RETENTION

  • Account and profile data: retained while your account is active, and typically for up to 12 months after closure to handle support requests and legal obligations, after which it is deleted or anonymized
  • Billing/invoice records: retained for as long as required under applicable Dutch tax law (currently up to 7 years)
  • API/MCP usage logs: retained for up to 12 months for billing history and abuse investigation, then aggregated or deleted
  • Packing item/bin data submitted for calculation: not stored beyond the short-lived application logs needed to process and debug your request

6. YOUR RIGHTS

If the GDPR or a similar law applies to you, you have the right to request access to, correction of, or deletion of your personal data, to object to or restrict certain processing, to receive a copy of your data in a portable format, and to withdraw consent (e.g. for analytics cookies) at any time. To exercise any of these rights, email info@packing-optimizer.com. You also have the right to lodge a complaint with your local data protection authority (in the Netherlands, the Autoriteit Persoonsgegevens).

7. CHANGES TO THIS POLICY

We may update this policy from time to time. We'll update the “Last updated” date above when we do, and material changes will be communicated via the Service or by email.
